Global Academic Spectrum International Journal is committed to maintaining a transparent and fair approach to payments associated with its academic publishing services. This Refund & Cancellation Policy explains the circumstances under which payments may be cancelled or refunded.
1. General Policy
Payments made to the Global Academic Spectrum International Journal for manuscript processing, publication, editorial, or other journal-related services are subject to the terms applicable to the particular service. Authors and users are advised to review the applicable charges and payment terms before making any payment.
2. Manuscript Submission
Submission of a manuscript does not, by itself, guarantee acceptance or publication. If a manuscript is rejected during the editorial or peer-review process, any refund of a fee already paid will be determined according to the applicable fee and refund conditions of the journal.
3. Cancellation by the Author
An author may request cancellation of a manuscript submission before publication by contacting the editorial office. Cancellation requests should include the manuscript identification details and be submitted from the corresponding author's registered email address. Cancellation of a manuscript does not automatically entitle the author to a refund. Any refund will be considered based on the stage of the editorial or publication process and the nature of the payment already made.
4. Refund Eligibility
A refund may be considered in circumstances such as:
- Duplicate payment made unintentionally for the same service.
- Payment made in error and confirmed by the journal.
- Technical or administrative issues resulting in an unsuccessful transaction where the amount has nevertheless been deducted.
- A journal-initiated cancellation of a paid service for which the service has not been provided.
- Other exceptional circumstances determined by the journal.
Where a duplicate payment is verified, the journal may refund the additional payment after appropriate verification.
5. Non-Refundable Circumstances
Payments may generally be non-refundable where:
- The editorial or publication service has already been substantially provided.
- The manuscript has entered or completed the peer-review or editorial process.
- The manuscript has been accepted and publication-related processing has commenced.
- The author requests withdrawal after substantial editorial or publication work has been completed.
- The author changes their mind after the applicable service has been provided.
- The payment relates to a service that has already been completed.
- The author has provided incorrect payment or manuscript information that results in additional administrative work.
- The request is made after publication, except where the journal determines that a refund is appropriate under exceptional circumstances.
6. Manuscript Withdrawal
Authors who wish to withdraw a manuscript should contact the editorial office as soon as possible. If withdrawal is requested after acceptance or after publication-related processing has commenced, the journal may decline a refund where editorial, peer-review, production, administrative, or other services have already been provided. If an article has already been published, withdrawal will be handled in accordance with the journal's applicable publication ethics and article withdrawal/retraction policies.
7. Refund Request Procedure
To request a refund, the author or payer should contact the journal using the official contact details provided on the website.
The request should normally include:
- Name of the author or payer
- Manuscript ID, where applicable
- Date of payment
- Amount paid
- Payment/transaction reference
- Reason for requesting the refund
- Relevant supporting information, where necessary
The journal may request additional information to verify the payment and the circumstances of the request.
8. Processing of Approved Refunds
Once a refund has been approved, the journal will process the refund using the original payment method where reasonably possible. The time required for the refund to appear in the user's account may depend on the payment service provider, bank, or financial institution. Any transaction, payment gateway, banking, or other applicable charges may be deducted from the refund where permitted by the relevant payment terms.
9. Payment Gateway and Bank Charges
Where a payment has been successfully processed through a third-party payment gateway, bank, or other payment service, certain transaction or processing charges may not be recoverable. The treatment of such charges will depend on the payment method and applicable circumstances.
10. Unauthorized or Suspicious Transactions
If a user believes that an unauthorized, duplicate, or incorrect payment has been made, they should notify the journal as soon as possible. The journal may verify the transaction with the relevant payment provider before determining whether a refund is appropriate.
11. Changes to the Refund Policy
The Global Academic Spectrum International Journal reserves the right to modify or update this Refund & Cancellation Policy when necessary to reflect changes in its services, payment procedures, publishing practices, or applicable requirements. The revised policy will be published on this webpage with the updated effective date.
